How we look after your information

To verify, replace or authenticate your documents we need some personal information, including your ID number and copies of your documents. This policy explains what we collect, why, who we share it with, how we protect it, and the rights you have under the Protection of Personal Information Act (POPIA).

1. Who we are

Africa Protea Integrity (Pty) Ltd, trading as Veriffy Me ("we", "us"), is the responsible party for the personal information described in this policy.

2. What we collect

When you send a verification request

  • Your full name, highest qualification, email address, phone number and physical or business address
  • Your South African ID or passport number
  • The service you need and, for WES requests, your WES reference number
  • The documents you upload, such as certified copies of your ID or passport, certificates, statements of results, transcripts, affidavits and WES application forms

When you contact us or ask for a business quote

  • Your name, email address, phone number, the service you are interested in and your message
  • For businesses: your company name, contact person, the number of candidates and the checks you need
  • When a business sends us candidates to verify, the candidates' names, ID numbers and qualification documents

When you reach us another way

If you call, WhatsApp, email or visit our office, we keep the information you give us so we can help you.

Sensitive information

Some services involve more sensitive information, for example police clearance applications, which relate to criminal records. We only process this kind of information when you ask us to and only for that service. If you are under 18, a parent or guardian must agree to the request on your behalf.

3. Why we use it

  • To carry out the service you asked for, including submitting your request to the right authority
  • To send you a confirmation, your invoice and updates about your request
  • To keep records of payments and of the work we did
  • To answer your questions and prepare quotes
  • To meet our legal obligations

We process your information because you asked us to provide a service (which forms a contract with you), because you consented, because the law requires it, or because it is in our legitimate interest to run our business, as POPIA allows.

We do not sell your personal information, and we do not use it for marketing without your consent.

4. Who we share it with

We only share what is needed to deliver your service:

  • The authority responsible for your document, depending on the service: Umalusi, the Department of Basic Education, the Department of Higher Education and Training, the QCTO, SAQA, DIRCO, World Education Services (WES) or the South African Police Service
  • The employer that asked us to verify you, if your verification was requested by a company. The company receives the result for the checks it requested.
  • Service providers who help us run the business, such as our website and email hosting providers, payment providers and couriers, who may only use your information to provide their service to us
  • Anyone the law requires us to share it with

Employers: when you send us candidates to verify, you confirm that you have told them about the check and have their consent to share their information with us for it.

5. Information sent outside South Africa

Some of your information may leave South Africa. For example, WES evaluations are processed outside South Africa, and our email providers may store messages on servers in other countries. We only transfer information outside South Africa where it is necessary for your service, where you have consented, or where the recipient is bound by protections similar to POPIA.

6. How we protect it

We take reasonable technical and organisational steps to keep your information safe from loss, misuse and unauthorised access, and we only let staff who need your information to do their work see it.

If we believe your personal information has been accessed by someone who should not have it, we will tell you and the Information Regulator, as POPIA requires.

7. How long we keep it

We keep your information only for as long as we need it for the purpose it was collected or as the law requires. We keep request records and copies of documents for 5 years after the service is completed, after which we delete or destroy them securely.

8. Your rights

Under POPIA you have the right to:

  • Ask whether we hold personal information about you, and ask for a copy of it
  • Ask us to correct or delete information that is wrong, out of date or that we no longer need
  • Object to us processing your information, and withdraw your consent at any time (this does not affect work already done)
  • Lodge a complaint with the Information Regulator at inforegulator.org.za

To make a request, contact our Information Officer using the details in section 1. We may ask you to confirm your identity first, so we never hand your information to the wrong person.

9. Cookies and this website

This website does not use advertising or analytics tracking. It stores only one small setting in your browser: your choice in our privacy settings panel, so we do not ask you again.

Some parts of the site load from other services, such as fonts, icons and the map on our contact page (Google Maps). These services may receive basic technical information like your IP address, under their own privacy policies.

Information you send through our forms is emailed to our team so we can handle your request.

10. Changes and contact

We may update this policy from time to time. The latest version will always be on this page, with its effective date at the top.
